Manage your stock
- iK Dashboard
Set up stock management, add opening quantities and keep product stock accurate as you sell and receive stock.
Stock management helps you keep track of quantities for physical products in your catalogue. Set it up in the iK Dashboard, then use the stock actions to record additions, removals and activity as your stock changes. Services don't have stock quantities, so manage them in catalogue management instead.
Open Stock Management
Sign in to the iK Dashboard.
Open Store.
Select Stock Management.
The Stock Management page can include Select products, All stock, Export, Sync and a search field for product name or SKU.
Choose the products you want to track
Select Select products.
Review the Product list.
All products are selected by default. Deselect any product you don't want Stock Management to track.
Keep only the products or product variants you want to count.
Stock Management tracks catalogue products, not services. If a product has variants, choose the individual variants that need their own quantities rather than treating the whole catalogue item as one stock item.
Enter your opening stock
For each selected product or variant, enter the quantity you have on hand in the Start value field.
Check the quantities against your physical stock before saving.
Select Save.
Start value is the quantity you have when you begin using Stock Management. It is not a product price, sales total or quantity sold. If you enter the wrong opening quantity, correct it before you rely on the current-stock figure for ordering or reconciliation.
After you save, the selected products appear on the main Stock Management screen. The table shows information such as the Start value and Current stock.
Understand the stock table
The stock table can show:
Product name
SKU
Last edit date
Start value
Current stock
an item action control
Use search by product name or SKU when the list is large. Current stock is the quantity recorded by stock management, so compare it with a physical count when you are checking whether you need to reorder.
Add or remove stock
Find the tracked product or variant.
Open its item action or three-dot menu.
Choose Add stock or Remove stock.
Enter the quantity and confirm the change shown.
Check the product and quantity before saving an adjustment. If you record reasons for stock changes, use them consistently so the changes are easier to trace later.
View stock activity
Select View stock activity from the item actions to review previous stock changes. Check the product, date and quantity before using the history to investigate a discrepancy between the iK Dashboard and the physical stock on hand.
Stop tracking a product
Use Stop tracking when you no longer want a product or variant in active stock tracking. Read the confirmation and check the result afterwards. If you only want to stop counting stock for a product, turn off tracking. You don't need to delete the product from catalogue management.
Export and sync
Use Export when you need a downloadable stock list. Use Sync to refresh or reconcile the view. Keep any physical stock records your business needs alongside stock management.
What happens when stock reaches zero?
Reaching zero does not stop a sale. The recorded quantity can continue into negative numbers if more items are sold or otherwise deducted than the current stock count. Treat a negative figure as a signal to check the physical count and update stock, not as proof that the product is unavailable.
If the product is shown in iK Webstore, reaching 0 stock does not remove it from the live store. To remove it from display, deselect it in iK Webstore and publish the store again. See Add products and services to your online store.
To add or update catalogue items, see Manage your products and services. You can review product performance in See how your products are selling.
