Reconcile your sales and payouts

Match sales, fees, deductions, pending transactions and bank deposits so you can reconcile a payout.

Reconciliation means matching the sales recorded in iKhokha with your payouts and the bank deposits you expect to receive. Work through one Recon Date at a time, then compare it with the matching bank deposit.

Start with your statement

Your statement is the easiest place to reconcile. It shows every transaction, the date it was made, the date it was reconciled, and the fees, deductions and amount paid out.

  1. Sign in to the iK Dashboard.

  2. Under Reports, select Payouts.

  3. Open Statement and select Expand to see the row-by-row breakdown.

  4. Choose the date range containing the payout or bank deposit you're checking.

  5. Find the relevant Recon Date.

Reconciliation works by Recon Date, not transaction date. For each Recon Date, note the amount paid out and any fees or deductions.

You can search for a specific transaction or filter the list in the iK Dashboard. If you're reconciling a longer period, choose a broad date range and export it to Excel. It is much easier to work through there.

If you need help understanding Recon Date, pending transactions, fees or deductions, see Understand your payouts, statements and deductions.

When to use Sales History

Sales History under Reports lists all your transactions by day, whether or not they were successful or paid out. It also includes cash sales, which don't show on your statement.

Use Sales History to check the details of a specific sale, such as the order, the products sold and the receipt. To reconcile payouts, use your statement instead.

For search fields, statuses and export steps, see View your sales in Sales History.

Compare the payout with your bank deposit

Compare the Amount paid out on your statement with the deposit that reached your bank account. The Recon Date and the date your bank shows are recorded at different times, so they don't always match.

If a payout fails, it is added to your next payout. iKhokha keeps trying until it is paid successfully.

If a payout has not reached your bank when you expect it, see How payouts work for payout times, cut-off times and bank-specific information.

If the totals don't match

Work through your statement before assuming money is missing:

  1. Check Pending first. Was the transaction successful, and has it been reconciled yet? If it is still under Pending, it has not been paid out.

  2. Check for refunds or reversals that affected the payout.

  3. Check fees and deductions for that Recon Date. Subscriptions and other monthly charges can reduce a payout, especially in the first few days of the month.

  4. Check the dates. Make sure you are comparing the right Recon Date with the right bank deposit, not the transaction date.

  5. Check which payout a transaction belongs to. Each payout includes the transactions reconciled since the previous payout. If your bank gets two payouts in a day, that day's transactions are split between them. A sale made just before a payout may fall into the next one.

Your statement is always the easiest place to check these.

Use exports when you need more detail

Select Export on your statement after choosing the date range and filters. Use the detailed expanded export to see your transactions, how each one moved into your balance and how that balance was paid out.

Keep exported files secure, as they contain sensitive business information.

If you still can't match an amount

  1. Write down the Recon Date, the date of the bank entry, the amount and any reference.

  2. Check your expanded statement and Pending.

  3. Search for specific transactions by receipt number.

  4. Note any fees, deductions, refunds or reversals for that Recon Date.

  5. Contact iKhokha Support on 087 222 7000 or support@ikhokha.com with the dates and amounts you checked.

Do not send passwords, PINs, one-time passwords, full card details or full banking details.
