Understand your payouts, statements and deductions
- iK Dashboard
Use your statement, payout history and pending balance to reconcile your sales, fees, deductions and payouts.
Payouts in the iK Dashboard shows how your sales become the amount paid into your bank account on record. Use it to reconcile your books, see your gross sales, net sales, fees and deductions, and check money that is still waiting to be paid out.
Open Payouts
Sign in to the iK Dashboard.
Go to Reports > Payouts.
You’ll see three tabs: Statement, History and Pending.
Choose the right tab
Statement: see how your sales, transaction fees and deductions add up each day. Use it to reconcile your books.
History: see payouts that have already been sent to your bank account.
Pending: see successful transactions that have not been reconciled yet. This is your balance still to be paid out.
Read the Statement
The statement groups everything by Recon Date. This is the day the bank validated your transactions. Fees and deductions are applied on reconciliation, so the Recon Date can be different from the date the transaction was made.
The statement only shows reconciled activity. Once something appears here, it will not change.
Each Recon Date shows:
Gross Sales: your total sales before fees, deductions and Cash Advance repayments.
Transaction Fees: the fees charged on those transactions.
Net Sales: your sales after transaction fees.
Deductions: other amounts taken off, such as subscriptions, SIM or data charges, Cash Advance repayments, refunds and settlement fees.
Amount paid out: what was paid into your bank account on record.
Select the arrow next to a Recon Date to see its total split into Transactions, Payout and Other.
Expand your statement
Select Expand to see every line behind your daily totals. Each line shows the transaction date, Recon Date, description, gross sales, transaction fees, net sales, deductions and amount paid out.
Use the filters to narrow the list:
Date range: for example, Last 14 Days
Transaction type: choose from the All Activity dropdown
Search: find a line by receipt number, date or amount
To find a specific transaction, use the expanded view.
Understand deductions
A deduction does not mean a card payment failed. It can be:
Subscriptions: recurring charges for your iKhokha products.
SIM or data charges: if you have an iKhokha SIM.
Cash Advance repayments: if you have an active Cash Advance.
Refunds: these come out of your balance.
Settlement fees:R2.50 on the first payout of the day. If your bank gets a second payout that day, it is free.
Reversals: if a payout to your bank account fails, it is reversed and goes back into your balance. It is then included in a later payout.
For tax purposes, use your monthly tax invoice. It lists all taxable fees and deductions, and includes your VAT number. Find it under Reports > Tax invoices.
See money that is still waiting to be paid
Open Pending to see your balance. Total to be paid out shows the full amount, and Sales to be paid out lists the transactions that make it up. Search by receipt number to find a specific sale.
Find a completed payout
Open History to see your past payouts. Each row shows the date and time, the amount, the settlement fee, the final amount paid and the payout status. If your bank gets two payouts a day, you’ll see two rows for that day.
Use the date range or search by amount to find a payout. For payouts older than what’s shown, select the link in the banner at the top of the tab.
To see the transactions behind a payout, go back to Statement and expand it.
Export your records
Select Export on any tab to download a copy. On the Statement tab, you can export the rolled-up statement or the full expanded statement. Any date range, transaction type or search you’ve applied is included in the export.
Check the tab, date range and filters before you export, so you download the right records. Keep exported statements safe, as they contain sensitive business information.
Why your statement and bank deposit may differ
Your statement only shows reconciled activity, so it never includes pending transactions. Each payout on your statement matches what reaches your bank account, after the settlement fee.
If the amounts still don't seem to match, it may be because:
transactions are grouped by Recon Date, which can be different from the date the money reached your bank;
your bank received two payouts that day; or
a payout failed and was reversed back into your balance.
If you still can't match an amount, compare one Recon Date at a time with the matching bank entry, or see Reconcile your sales and payouts.
If you need help, contact iKhokha Support on 087 222 7000 or support@ikhokha.com with the Recon Date, amount and reference number from your statement.
