Add and manage income and expenses
- iK Dashboard
Use Income & Expenses in iK Accounting to review, add and manage income and expense records.
In iK Accounting, Income & Expenses is where you keep track of money coming into the business and money going out. Use it to review automatically synced iKhokha activity, connected bank activity and any records you need to capture manually.
Open Income & Expenses
Sign in to the iK Dashboard.
Under Reports, select Accounting.
Open Income & Expenses.
Choose the month you want to review.
Start by checking the selected month. If the period is wrong, totals and lists can look incomplete even when the record exists.
Understand what appears automatically
Every card and cash transaction taken using an iKhokha payment solution, including iK Flyer, the iKhokha app and Online Payments, is automatically synced to Income & Expenses after each payout.
This iKhokha transaction syncing is separate from bank activity brought in through a connected bank account. Before adding anything manually, check whether the sale or movement is already present from either source.
Review the income and expense totals
The overview separates money coming into the business from money going out. Use the totals as a starting point, then open View income or View expenses to inspect the records behind the month.
Cash movement and profit are not the same thing. A total in Income & Expenses does not by itself tell you whether the business made a profit or what tax treatment applies.
Add income manually
Select Add income.
Complete the information requested by the form.
Check the selected month and amount before saving.
Save the entry using the confirmation action.
Use a clear description that will help you recognise the entry later. Only add a manual record if the transaction hasn't already synced from iKhokha or arrived through a connected bank account.
Add an expense manually
Select Add expenses.
Complete the information requested by the form.
Check the selected month, amount and category information shown.
Save the entry using the confirmation action.
Keep supporting receipts or business records with your usual records. iK Accounting is not a substitute for tax or accounting advice.
View income and expenses
Select View income or View expenses to open the records for the selected month. Use the list to check whether an entry is present, whether the amount is correct and whether it has been categorised as expected.
If the record shows an edit or remove action, review the record before confirming. If no edit or remove action is available, leave the record as it is and continue with the checks below before deciding that it is wrong.
Connected bank activity
If you have connected a supported bank account, transaction activity can also appear in iK Accounting. Check the selected month and the bank-connection status when you are expecting a bank transaction to appear.
A connected bank transaction and an automatically synced iKhokha transaction are different sources. Compare the source, date and amount before you categorise a record or add anything manually.
Avoid duplicate or mismatched records
Check the month before adding a record.
Search or open the existing income or expense list before creating a new entry.
Check whether the iKhokha transaction has already synced after its payout.
Check whether a connected bank account has already supplied the transaction.
Use a clear description and keep your own supporting document reference.
Keep customer payments, payouts, bank transactions and expenses in their correct categories.
If your totals don't match your records
Confirm the selected month.
Open View income and View expenses to inspect the underlying records.
Check whether the relevant iKhokha activity has already synced after its payout.
Check whether the bank connection is active and up to date.
Check whether the activity is a payout, sale, refund, expense or another type of movement.
Keep the date, amount, description and reference number handy if you need help.
If the totals are still wrong after these checks, contact iKhokha Support on 087 222 7000 or support@ikhokha.com with the month, date, amount, description and reference involved. Do not send banking passwords, PINs, one-time passwords or full account details.
Review your accounting reports
Once your records are captured, see View your accounting reports to review the available reports. If a bank connection needs attention, see Connect and manage your bank accounts.
